KNIGHT TRAVEL LTD - TERMS & CONDITIONS
1. Application
These General Booking Conditions (“Conditions”) are the terms and conditions of Knight Travel Ltd (“the Operator”). They apply whether a contract of carriage or service is confirmed in writing, verbally, or through acceptance of a quotation.
These Conditions apply to:

Anyone making a group booking or hiring a vehicle on their own behalf or for others
A “Hirer” refers to anyone who makes a booking for any service provided by Knight Travel Ltd, including but not limited to: private vehicle hire, day trips, excursions, and holidays.
By using any of the Operator’s services, all passengers and hirers agree to be bound by these Conditions.

2. Authority and Responsibility
When a booking is made on behalf of a group or other individuals:

The person making the booking is responsible for all passengers in the party

An individual must be named as the responsible person if the Hirer is a group, company, or partnership

3. Contract Formation

A booking is confirmed once entered into the Operator’s reservation system
-
These Conditions form the entire agreement and override any prior discussions or representations

4. Acceptance of Terms
-
Making a booking indicates acceptance of these Conditions (orally or in writing)

5. Quotations
-
All quotations are based on information provided by the Hirer and are valid for 7 days unless otherwise stated
-
Quotations are subject to vehicle availability at the time of acceptance
-
Unless stated otherwise, the quoted price includes vehicle and driver only. Extras such as tolls, parking, accommodation, and meals are the Hirer’s responsibility

6. Use of Vehicle(s)

Unless agreed in writing, vehicles are not guaranteed to remain at the destination or be available between outbound and return journeys
​
7. Route and Time Variations
-
Itineraries are advisory only and may be changed at the Operator’s or driver’s discretion
-
Vehicles will wait no longer than 5 minutes at scheduled pickup times
-
Additional charges may apply for delays, extra mileage, or route variations
​
8. Drivers’ Hours
-
Legal limits on driving hours must be observed; the Hirer is responsible for ensuring schedules comply
-
Any delays or changes that breach these regulations may result in hire curtailment and additional charges
​
9. Passenger Capacity
-
Vehicles must not exceed legal seating capacity
-
Children under 14 must be accompanied by an adult; under 18s will only be carried with prior written consent
-
Courier seats may not be used by passengers
​
10. Animals
-
No animals allowed except for guide or hearing dogs with prior written approval
​
11. Confirmation
-
A written confirmation email from Knight Travel Ltd is the only binding acceptance of a booking
​
12. Payment
-
Deposits must be paid by the stated deadline
-
Full payment is due 14 days before the start of hire unless otherwise agreed
-
Payment methods: credit / debit card (phone/payment link), or BACS transfer
-
Payments from non-UK banks must include an additional £9 for bank charges
-
Late payments may incur interest (5% per annum or 2% above Barclays Bank base rate, whichever is higher)

13. Cancellation by the Hirer

In the event of cancellation by the hirer of any booking the operator reserves the right to retain the hirer’s deposit and the hirer agrees that the following scale of charges will apply in relation to the total hire charge :Notice given Coach hire charges

The Hirer must also pay for any non-refundable extras (e.g. theatre tickets, toll charges, ferry crossing's, accommodation) already purchased on their behalf, plus admin charges
-
Cancelling multiple pre-agreed bookings requires 3 months’ notice or the Hirer is liable for lost profits, costs, and reputational damage
-
Booking variations or transfers may be allowed at the Operator’s discretion for a £25 admin fee
-
Cancellations due to bad weather are subject to the same cancellation charges

14. Cancellation by Knight Travel Ltd​

The Operator may cancel without liability due to events outside its control (e.g. strikes, weather, terrorism, health risks)

15. Vehicle Substitution and Feeder Services
-
A larger vehicle may be supplied at no extra cost unless extra seats are used
-
Feeder vehicles may be used; seat numbers apply only on the main coach
-
Equivalent third-party vehicles may be substituted if needed

16. Delays and Breakdowns
-
Journey time estimates are given in good faith. The Operator is not liable for delays caused by traffic, weather, breakdowns, or other disruptions beyond its control

If your vehicle has been branded with a partial or full custom wrap, Knight Travel Ltd accepts no responsibility for any costs or losses incurred if the vehicle breaks down and is therefore unable to be used for its intended purpose.

​Delivery of Goods:

We accept no responsibility for any delays caused by traffic, weather, or other unforeseen circumstances. If goods are transported across borders, we accept no responsibility for delays due to customs checks, border controls, or other disruptions. We cannot guarantee that goods will arrive at airports or train stations at specific times, and we will not be held liable if connecting transport is missed.

17. Third-Party Services

If the Operator arranges extra services (ferries, meals, etc.), it does so as an agent for the Hirer

The Hirer is bound by the third-party suppliers' terms and conditions and is responsible for any breach caused by themselves or their passengers
18. European Travel​
-
British citizens require a valid 10-year passport. Non-UK nationals should consult their embassy
-
Knight Travel Ltd is not liable for issues caused by incorrect or missing travel documents
​
19. Passenger Conduct
-
Only lightweight items should be placed in overhead racks; briefcases and similar items must be stored under the seat.
-
Luggage must not block gangways or exits. Pedal cycles cannot be carried.
-
Smoking is prohibited on all coaches.
-
Drivers may refuse travel or remove passengers whose behaviour compromises safety or breaches regulations.
-
Management staff also have the authority to remove passengers who are disruptive, intoxicated, noisy, or threatening.
-
Lost property may be returned by courier/post at the hirer’s expense with proof of ownership, but the operator is not liable after dispatch.
-
The hirer is responsible for any damage or mess caused during hire, including cleaning costs.
-
Passengers must not distract the driver or jeopardise vehicle safety.
-
Passengers must follow driver instructions at all times.
-
If passengers are asked to leave the vehicle, the hirer agrees not to claim costs related to their removal or resulting itinerary delays.

20. Liability and Insurance
-
Hirers and passengers must have comprehensive travel insurance covering all risks (property loss, medical treatment, repatriation, personal injury).
-
The operator is not liable for injuries or illnesses caused or worsened by negligence, pre-existing medical conditions, or third parties (e.g., accommodation providers).

Liability is limited to the cost of hire and related services, except for personal injury or property damage covered in conditions above.
-
Compensation limits under international conventions (Athens, Berne, Geneva) apply for injuries or death during transport.
-
Any compensation paid assigns rights to the operator to pursue third-party claims.
-
Supplier terms and conditions may apply, limiting supplier liability.

21. Complaints
-
Complaints should be raised immediately with the driver or operator to seek a quick resolution.
-
If unresolved, complaints must be submitted in writing within 7 days of service completion.
-
The operator will acknowledge complaints within 5 working days and respond within 14 working days.

22. Posters and Advertising
-
No posters, bills, or notices may be displayed on vehicles without prior written consent from Knight Travel Ltd.
​
23. Food and Drink
-
Consumption of food (except sweets) and drinks (including alcohol) on vehicles requires prior consent, except where vehicles are specifically designated for this purpose.

24. Surcharges
-
If notified at least 30 days before departure, the operator may pass on fuel cost increases, new taxes, tolls, or currency fluctuations.
-
No surcharges apply less than 30 days before departure.
-
Hirers may cancel bookings if surcharges apply, subject to cancellation charges.

25. Notices
-
Notices from hirers to the operator are deemed served the first working day after receipt and must be in writing.
-
The operator does not accept notices via email or fax.
-
Notices from the operator to the hirer are deemed served two working days after posting or immediately if sent by email or fax.
​
26. Waiver
-
Failure to enforce any term in one instance does not waive the right to enforce it in the future.
​
27. Miscellaneous
-
Headings do not affect interpretation.
-
If any term is invalid or unenforceable, the remainder of the agreement remains valid.
​
28. Governing Law
-
Contracts with Knight Travel Ltd are governed by English law.
